Let’s demystify Managed Print Services ! (1/3)

Maybe you think MPS is for large enterprises, but not for medium-sized and smaller organizations?

Managed Print Service (MPS) providers claim they can reduce your cost of office printing and copying by 30%. That is a saving of €15,000 every year for a typical organization with 100 employees.  Is this really possible, or is there a hidden catch? Is this something your organization should consider?

 

In this article, I am going to try to demystify MPS, making clear what it is, what the potential benefits are, and how to make it work for your organization.

 

Firstly though, let me ask a question. Do you know how many printers your organization has, and how much you spend on printing and managing documents?

 

Independent audits of a wide range of organizations across many European countries have shown that most do not know, and even those who think they know are surprised when presented with the facts – they almost always significantly under-estimate the number of printers, and the amount they are spending.

 

On average, organizations which had not adopted MPS were found to have one printer for every three employees, and to be spending an annual average of around €500 per employee on printing*.

Assets are generally not efficiently utilized, but at the same time the lack of a coherent strategy and infrastructure means that the service provided to users is often poor. So not only are costs higher than they need be, but staff productivity suffers as well.

 

Why don’t most organizations know much they are spending on printing, and why don’t they control it better? There are many reasons, but the main ones are:

  • Responsibility is typically spread among many different people in the organization
  • Printing has traditionally been seen as a low priority function.

    What about the services of Managed Print Services for midium organizations like us? What should we do?

      Do you mean medium size as a channel player i.e. 100/500 staff or do you mean addressing mid size companies as end user clients ?

      Case 1 absolutely YES, very possible and we have plenty of examples

      Case 2 YES as well but as the return on savings is less than in a large corporate, your sales cycles needs to be shorter and your services very packaged. If I read correctly you are already in IT Managed services. Up point you already have access to clients; Down point estates can be messy and there is a good knowledge base to acquire. Start by partnering with someone and test the market ?
